Job Opening: Part-Time Bookkeeper/Admin Assistant

The Community Arts Center Foundation (CACF) - “Prizery” - Seeks Bookkeeper/Administrative Assistant Position Is Part Time and does not include benefits. The CACF Bookkeeper/ Administrative Assistant reports to and is directed by the Managing Director. Approximately one-half time will be spent on bookkeeping duties and one-half time will be spent on administrative duties. Work hours are expected be 12-15 hours per week, during office hours. The Community Arts Center Foundation (CACF) is also commonly known as The Prizery as it is located at The Prizery Building in 700 Bruce Street, South Boston, Virginia. Its mission is to Enrich Lives Through the Arts! The CACF building includes a 250 seat theatre with stage, 350 person capacity banquet hall, various classrooms and exhibition spaces. The CACF produces and/or houses approximately 20 live performance programs (multiple performances for each program), arts education programs, art exhibition space, historical exhibition space, independent community theatre productions, and a banquet facility. CACF is a 501(c) (3) non-profit organization and has an annual operating budget of approximately $440,000; four employees; and a volunteer Board of Directors.
BOOKKEEPING duties will include but are not limited to:
· Prepare checks, and deposits as required, and in accordance with CACF protocols
· Maintain all accounts receivable and payable, in an accurate and timely manner
· Maintain files of paid bills, fiscal reports, and any other required records
· Aid in preparation of monthly financial statements for CACF Board Meetings
· Work with Managing Director to prepare and monitor operations budgets and payroll
· Maintain Database
ADMINISTRATIVE ASSISTANT duties will include but are not limited to:
· Prepare and transmit weekly cash receipts summary to the Managing Director
· Maintain Filing of administrative documents
· Help Manage Building Rentals
· Coordinate program calendars
· Maintain volunteer and CACF confidentiality
Two (2) years office and bookkeeping experience. Time management skills, and knowledge of office equipment is required.
Accuracy, organizational abilities, good communication skills, flexibility, ability to give care and attention to details, self discipline and responsibility to get required duties done on time, and ability to work well with others. Ability to follow complex oral and written directions. Working knowledge of software including: Quick Books online accounting; databases; MS Office. Proficient in keyboarding/typing.
Possess natural or aided hearing adequate to provide regular phone interaction with broad range of persons. Possess natural or aided vision to support daily personal computer usage, regular uses of standard office equipment and preparation and interpretation of hand written information. Ability to lift 20 – 25 pounds as needed to prepare and file all necessary documentation and process office supplies. Range and motion, dexterity and coordination requisite with daily use of personal computer and standard office equipment. Physical speed, strength and coordination needed to prepare offices/rooms for small/large meetings including procurement and delivery of needed supplies.
